Quotations
The quotation area allows an operator to prepare a detailed quote for a customer, which can be turned into a sales order very easily with just a few clicks of the mouse. The main page of the quotation section has several features that make for easy navigation and editing of existing quotes. The list of Quotes can be sorted and searched by using the locate function on the upper right side. The list can be searched by quote number or by customer ID.

Show All Quotes button will show all of the quotes that have been produced by Job Master.
Show Open Quotes button shows only the open quotes that been produced, but have not been closed.

There are two ways to make changes to an existing Quotation; one is to simply select the quote to be changed and then use the Edit button to edit the quote. The modified quote will then be copied over the original, leaving no record of the developing process of the quote. The second way to update a quote is to select the quote to be changed and then select the Revise button. This allows the operator or salesperson to create a revision and then save it as an extension of the original quote. For example, if the original quote was quote number 1, the first revision would be 1-1, the second would be 1-2, and so on. The Reproduce button allows an operator to duplicate an existing quote, change quote information as required (including the customer name to whom the quote is to go) and save the quote under an entirely new quote number, This feature is excellent when extensive quotes that are basically the same are sent to more than one customer.
Items can be added, edited, and deleted from the quote simply with the click of a button. The quantity, unit price, sales tax, discount, and shipping can be specified for each item on the quote.

When you add a line item to a quote, you can use Quantity Pricing to automatically adjust the unit price for an item depending on the quantity you are quoting. For example, you may sell ball bearings that start out at $0.60 a piece, with the price decreasing to $0.50 a piece when the quantity is more than 50, and with the price decreasing to $0.40 when the quantity is more than 100, and so on and so forth. Job Master will automatically choose the correct unit price for the quantity you are quoting.
There are also two different modes for quotes in Job Master: Standard Mode and Quantity Pricing mode. The standard mode simply lists all of the items and the unit price and extended price (unit price times quantity) for each item. The Quantity Pricing mode allows you to list how the price varies for each item depending on how much the customer is purchasing.
To transform a quote into a sales order, you merely need to click on the "Sales Order" button at the window which you view/edit a quote. When you click on the Sales Order button you will get this screen that allows you to designate line items from a selected quote to appear in a formal Sales Order for a client:

Selection is on a "point and click" basis, and once the selection of items is complete, a simple click, on the "Create Sales Order" button creates a Sales Order ready to send to the customer. The operator is given the option to immediately navigate to the new Sales Order, or to exit and access the new Sales Order later.

What flexibility do I have in pricing materials or labor when creating a Quote or a Sales Order? |
| |
Well, Job Master job shop software offers the opportunity for an operator to mark up the price on labor, materials, or other charges by either a strait dollar amount of by a percentage. All of this can be done by going into either QUOTATION or SALES ORDER (depending on which one the operator is creating), and after selecting a Quote or a Sales Order click on EDIT. Once in the Edit section, selecting the COST BREAKDOWN button will bring the operator to the area that he can adjust mark-ups. |
| 2. |
What do I do if I need a letter to accompany a Quote that I'm sending to a customer? |
| |
Job Master job shop software has the ability to create a Quote Letter on a point & click basis. Using this feature allows an operator to create a canned letter quickly and effortlessly. The Quote Letter can be made by going into QUOTATION area, selecting the EDIT button, and then clicking on the LETTER button. |
| 3. |
How do I change a Quote into a Sales Order? |
| |
Job Master job shop software allows an operator to quickly and easily transform a Quote into a Sales Order, all he/she has to do is when in the QUOTATION screen, in the EDIT section, select the desired quote, and then click on the SALES ORDER button. The operator will then be able to select the desired products from the Quote that are to be used in the actual Sales Order, and all relevant information will be placed into a Sales Order ready to go. |
| 4. |
What do I do if once I've completed a very complex Quote another customer wants to order the same thing, or something very similar? |
| |
An operator of Job Master job shop software, can quickly duplicate orders for different customers and modify them if need be. This can be done by going into the QUOTATION section, and at the bottom of the screen there is a REPRODUCE button. This will copy whichever Quote was selected, and then can be modified and tailored for the new customer. |
| 5. |
Is there an easy way to access all open orders? |
| |
Yes, by entering into the QUOTATION section an operator can view which orders are still open by clicking on the SHOW OPEN QUOTES button. If the operator would prefer a hard copy of the information he/she can select the PRINT OPEN QUOTES button and all Open Quotes will be printed out. |
| 6. |
Can I revise a quote and keep the original? |
| |
Yes, Job Master job shop software allows an operator to modify a Quote and the changes made will be saved as a separate Quote. The Revision will be documented as a suffix to the original Quote. For example if Quote #101 is revised, the revision will be saved as Quote #101-1. Revisions can be made by going into the QUOTATION section, selecting the desired Quote and then clicking on REVISE. |
